Airbnb Income (Cash Flow ROI) Calculator: Step-by-Step Guide for Realtors
If you’re working with investor clients, you already know: short-term rentals can look amazing on paper, but the numbers can collapse once real costs hit.

If you’re working with investor clients, you already know: short-term rentals can look amazing on paper, but the numbers can collapse once real costs hit. That’s why showing buyers an accurate Cash Flow ROI (CFROI) is one of the fastest ways to stand out as a realtor.
This guide walks you through exactly how to calculate CFROI in your own spreadsheet. No fluff — just the formulas, the inputs, and the steps. By the end, you’ll be able to quickly tell whether a property makes sense as an Airbnb investment.
And if you’d rather skip the manual work, I’ll show you how to generate a professional, white-label report with Rental Forecast that does all of this for you automatically.
Step 1: Estimate Gross Monthly Revenue
Start with money coming in.
- Find nightly rate (ADR): Look at comparable listings on AirDNA or run a revenue forecast report on KW Rental Investments. Example: $150/night.
- Estimate occupancy rate: Divide booked nights by 30. Example: 70% (≈21 nights/month).
- Run the math: `Gross Monthly Revenue = ADR × Occupancy Rate × 30` (Example: $150 × 21 = $3,150/month.)

Step 2: Add Fixed Ownership Costs
These are the bills you can’t escape:
- Mortgage: Use Excel’s `=PMT` formula or a mortgage calculator.
- Property tax: Annual bill ÷ 12. (See: Tax Strategies for STR Owners & Investors)
- Short-term rental insurance: STR coverage is higher than homeowners.
- HOA/condo fees: Monthly dues if applicable.
Example: Mortgage $2,972 + Insurance $100 + Taxes $109 + HOA $235 = $3,416/month fixed.
Step 3: Add Operating Expenses
Don’t underestimate these — they separate winners from losers.
- Utilities: electric, gas, water, internet, trash.
- Supplies: toiletries, kitchen basics, linens.
- Maintenance & repairs: set aside 5–10% of revenue.
- Property management: 10–20% of gross revenue if outsourced.
- Local fees & STR licenses: check your compliance checklist.
👉 See our breakdown here: How to Accurately Calculate STR Expenses.
Step 4: Calculate Net Cash Flow
Now subtract your costs from your revenue.
Net Monthly Cash Flow = Gross Revenue – (Fixed Costs + Operating Expenses)
Example:
- Gross Revenue = $3,150
- Fixed = $3,416
- Operating = $500
👉 Net = –$766/month (negative).
That’s why showing all costs upfront is critical — clients need to see the real picture.
Step 5: Calculate CFROI
Finally, measure the return on the actual cash invested.
CFROI = (Annual Net Cash Flow ÷ Total Cash Invested) × 100
Example:
- Annual Net = –$9,192
- Cash Invested = $90,000 (down payment + closing + furnishings)
- CFROI = –10%
One number tells the story: would you invest in that?
